JOB SUMMARY
Responsible for the full spectrum of payroll activities and manage external payroll service providers in the region. In performing the duties, legal regulations, GAAP as well as operating procedures of Marriott Vacations Worldwide must be complied with.
This position requires strong collaboration with other team members and other departments in ensuring the day to day payroll functions are operating efficiently.
CORE WORK ACTVITIES
1. Responsible for ensuring accurate and timely execution of associate payroll in Singapore, Japan, China and Hong Kong.
This includes:
Consolidating payroll templates
Prepare and maintain monthly payroll schedules
Review and validate monthly payroll submissions, and ensuring accurate and timely processing in compliance with local legislation and corporate policy
Liaise with HR, Tax Consultant and Corporate Payroll/HR to ensure expatriate tax matters are compliant with established policies and procedures
Identify, recommend and implement improvements to payroll related work processes
2. Responsible for Singapore, Japan, China and Hong Kong statutory submission including:
Social security submission e.g. CPF, MPF, etc.
Process payroll applications for government rebates/reimbursement
Complete annual income & tax filings within stipulated timelines & ensure completeness of reportable income & benefits in compliance with legislation
3. Ensure adequate controls are in place around all matters pertaining to payroll:
Maintain files record and up-to-date payroll-related documentation when there are new regulations
In charge of internal audit relating to payroll procedures and performing corrective actions as required
Prepare documentation and reconciliations for external audit
Maintain strict confidentiality of all associate payroll records.
4. Prepare payroll related information and analysis:
Prepare monthly payroll information and reporting to Corporate
Responsible for headcount & payroll report/reconciliation for Forecast/Budget
Ad-hoc payroll reporting to HR
Attend to payroll enquiries from associates, internal & external stakeholders
5. Responsible for sales and marketing commission calculation process, and commissions/incentives in other departments
6. Month-end closing process
Responsible for payroll-related journals for upload to financial accounting system
Responsible for Profit & Loss and Balance Sheet reconciliation for payroll related accounts
Prepare accruals for all payroll related expenses
Perform analysis of payroll and related expense variances
7. Regional payroll
Participate in the implementation of payroll processes in new locations (if any)
Responsible for administering and harmonising regional payroll processes
Manage APAC payroll outsource vendors on APAC region payroll and taxation matters to ensure quality and timely delivery of services
Payroll processing back-up for other countries
8. Associate Development
Provide meaningful guidance to payroll team to assist them properly execute their assigned duties.
Develop team associate(s) by, among other things, regularly sharing best practices, technical knowledge and business concepts.
Provide constructive feedback, with consideration of others’ feelings.
Leveraging the unique strengths of each associate, bringing out the best in them.
9. Involve in any payroll-related projects as and when the need arises.
10. Any other duties as and when assigned from time to time.
CANDIDATE PROFILE
Diploma in Accounting
At least 6-8 years of payroll experience in a sales and marketing related payroll environment
Core competency must be in payroll and payroll accounting
Handled payroll for the 4 locations – Singapore, Hong Kong, Japan and Shanghai
Must have experience working with external payroll vendors
