The primary responsibility of a Tour Desk Representative is the data entry of daily Tours & Packages generated at the Site.
The Tour & Package Desk Representative verifies the personal information provided by Marketing, filters all the requests made by them, and supports Tour Reception department providing the leads created in the Company’s System.
This position is also responsible for entering in the Company’s system the Vacation Packages sold at the site, reviewing and auditing, every piece of information provided by the teams who sold the package.
Works in strong relation with Sales & Marketing Leadership and teams in general, as well as with Admin Team, and Tour Reception Team. This position is in close contact with Corporate Call centers and different departments for the proper development of the daily duties.
Reports To: Sales and Marketing Admin & Support Manager
Interfaces With: Project Director, Sales and Marketing Departments.

Duty or Responsibility
• Responsible for the input and management of all direct tours and sales wave availability to include new tour bookings, reschedules and cancels. • Ensure all packages and direct tour leads are reconciled in computer system. • Responsible for communicating updated tour availability to Sales Front Desk and Marketing Executives and/or Tour Brokers in the field. • Ensures all required reporting is completed and submitted on schedule. • Bring to attention to management any incident that may negatively affect sales and marketing and operations. • Communicate to tour reception any changes that may affect their work. • Identify and analyze any operational challenge and provide solutions to correct the deficiency. • Give follow up with Corporate Call centers regarding Packages sold data entry. • Responsible in storage all physical Site Packages documentation in a safe place.

• Excellent customer service and communication skills and an eye for detail.
• Must have excellent communication skills both oral and written in both English and Spanish.
• Working knowledge of Microsoft Outlook, Excel, Power Point and Word
• Thorough knowledge of modern office practices, procedures and the use of business machines and office equipment.
• Ability to establish and maintain effective working relationships with supervising personnel, co-workers, subordinates, external customers/business partners.
• One year experience gained through increasingly responsible positions within the administration or marketing fields.
• Availability to work variable shifts when necessary.
1. Stairs are a part of the building structure; therefore, climbing stairs is mandatory.
2. Processing of paperwork requires visual observations.
3. Verbal communication is necessary for negotiating plans for Project.
