This position is a maternity leave position and is a member of the professional staff who contributes specialized knowledge and skill in a discipline (e.g. Accounting, Finance, Human Resources, Information Resources, Operations Planning & Support, Sales and Marketing) area to support team and/or department business objectives.

As a member of the professional staff, you will contribute specialized knowledge and skill to support team and/or department business objectives.  This position generally works under supervision but is expected to have the knowledge of New Owner Administration Standard Processes to confidently and independently produce high standard, compliant, sales contracting documentation. Ensure quality, compliant processes are adhered to in all areas of contract production, financing applications, payment collection, follow-up, sales status reporting and client file maintenance.

  • Related work experience

Required Qualifications

  • Proficiency in reading and writing English (additional language required for certain positions)

JOB SPECIFIC TASKS

  • Performs tasks as assigned, to contribute to team, department and/or business results.
  • Ensure quality contract document procedures and suggest improvements
  • Have a thorough understanding and knowledge of the product
  • Ensure contract documentation is accurate and provides correct representation
  • Communicate with Holiday Planning Department regarding status of contracts, file document requirements and follow up.
  • Protect Personally Identifiable Information (PII) as outlined by MVC Policies
  • Performs other duties as appropriate
  • Receives and checks for legibility and accuracy, the completed Purchase Summary Worksheet and Loan application from Advisors.
  • Follows established operational procedures for Identity Verification and OFAC/CDC checks as required
  • Acting on financing information received, completes file with required back up verification documentation.  Informs Management on any related issues.
  • Produces prompt accurate contract documents to Advisors.
  • Follows Standard Operating Procedures for all daily required tasks relating to the New Owner Administration (Contracting) Department
  • Produces daily and weekly reports as requested, cancellations, missing documentation and defaults
  • Ensures quality processes and upholds controls in the following areas:
    • Rescissions
    • Minimum down payment requirements
    • Contract switches (upgrade or downgrade in Points levels)
    • Pricing
    • Financing terms and interest rates
    • First Day Benefits
    • Unclosed business review (debtor control)
    • Extended closing dates
    • On “Hold” inventory
  • Ensures files are complete with all required correctly signed original documentation, in preparation for Closing processes by the Completions Department
  • Provides commission information to appropriate department for payroll purposes
  • Ensure all closing documents, including loan originations, are filed in accordance with all required procedures.
  • Ensures compliant working practices and security within the Sales Administration working area
  • Performs related tasks as assigned.

COMPETENCIES, BASIC SKILLS, PERSONAL CHARACTERISTICS

  • Proficiency in the use of computer word processing skills with specific knowledge of Microsoft Excel and Word
  • Good organizational and math’s skill
  • Must be able to handle a flexible work schedule and work reasonable additional hours, including on weekends and evenings
  • Experience in high volume, fast-paced, results oriented business environments,
  • Ability to work under pressure, manage multiple priorities, and be a self-starter.
  • Proven verbal and written communication skills.
  • Proven ability to work in a team environment and interact with all levels of the organization.
