Project Management Software Administrator (PMSA)

As a member of the professional staff, contributes specialized knowledge and skill in a discipline (e.g. Project Management, Finance, Human Resources, Information Technology) area to support team and/or department business objectives. Generally, works under limited supervision, but within established guidelines, producing and analyzing more project management and business information to assist in the decision-making process.

Specific Job Summary

The Manager, Project Management Software Administrator (PMSA), is responsible for identifying, deploying, maintaining and managing the tasks, tools, and processes used to support MVW's project delivery teams and to drive efficiencies in the Capital Planning and Villa Refurbishment (CP & RRS) processes and procedures. This position is responsible for ensuring internal customer needs are satisfied by demonstrating a broad range of both technical and functional skills with an equal emphasis on providing day-to-day PMWeb software system administration as well as identifying and delivering mid-term to long-term strategies. The Manager, PMSA serves as a single point of contact to multiple delivery teams and is responsible for identifying tools and integrating processes, providing project startup and ongoing support, targeting training and driving efficiencies across disciplines, including but not limited to C.P / RRS Information Technology, Development Accounting, Third Party Vendors, and Industry Experts.

PMSA

  • Performs more complex quantitative and qualitative analysis for business processes and/or projects. Often manages small projects, business processes or parts of larger ones.
  • Responds to, solves and makes decisions on more complex/non-routine business requests with limited to moderate risk.
  • Builds and maintains the PMWeb software platform across CP and RRS
  • Responsible for own work and contributing to team, department and/or business results. May direct work of non-management staff.
  • Serves as the point source helpdesk and assistance to all CP and RRS Project Managers and related team associates
  • Assists more senior associates in achieving business results by:
    • identifying opportunities to enhance the effectiveness of business processes.
    • providing training and technical guidance to less senior staff, where appropriate, and serving as point-of- contact for problem resolution.
    • participating in setting department operating plans.

Specific Expected Contributions(including duties and responsibilities)

Day-to-day PMSA Administration and Training: PMWeb Applications and Reporting

  • Ensure data integrity exists between the PMWeb software platform and PeopleSoft.
  • Liaise with IT to facilitate technical support and to ensure system backups and security measures are maintained.
  • Manage processes and procedures for software updates and upgrades that impact PMWeb Tools, including evaluation, implementation, testing, and training.
  • Develop PMWeb processes to support the evolving needs of the MVW business, including but not limited to recommending and implementing efficiencies and improvements.
  • Partner with various delivery teams and Project Managers to ensure accurate, concise information is maintained for reporting the senior leaders.
  • Train associates as needed on existing PMWeb systems to include Labor Management.
  • Serve as subject matter expert on various applications, performing routine application and database management.
  • Troubleshoot, identify and resolve system issues.
  • Develop and execute system test plans to ensure application performance conforms to specifications.
  • Build and maintain an interface with the Asgard Reserve Study Platform
  • Extracts data, design and run reports on budgets, forecasts, scheduling or other activities as directed; designs other dashboards and reports as necessary.
  • Prepare ad-hoc reports as required.
  • Coordinate with both technical and non-technical staff and vendors on the design, documentation and implementation of new features and system improvements including creating reports.

Vendor Management

  • Responsible for working with product vendors in order to ensure compliance with licensing agreements and maintenance/support contracts.
  • Act as liaison between outside vendor and various departments; coordinating and monitoring through Undo (Ctrl+Z)completion when adding a new user to include, but not limited to document signature requirements, advising vendors of next steps, and set up.
  • Responsible for coordinating Network Access Agreement for outside vendors to obtain access to
  • MVW network.
  • Scheduling
  • Develop and maintain schedule templates for use by Project Managers.
  • Provide on-going technical scheduling support to Project Managers.
  • Produce monthly and quarterly summary schedules
  • Track corporate milestones and liaise with internal departments for schedule input and reporting.
  • Train project staff in use of schedule tools as determined by Project Managers.
  • Support Project Managers in creating and maintaining project schedules as needed.

Cost Management

  • Establish project controls to support feasibility, due diligence and pre-construction.
  • Establish project controls to support project delivery upon corporate approval of committed investment.
  • Liaise with Project Manager and Development Accounting to input approved budget.
  • Liaise with Project Manager to input initial forecast.
  • Liaise with Project Manager and Development Accounting to upload job cost actuals and manage reporting.
  • Develop project reports as requested by Project Managers.
  • Provide ongoing change management support as requested by Project Managers.
  • Support Long Range Villa Refurbishment and Capital Plan evaluations by providing data and reports as requested.
  • Support contract routing as requested.
  • Integrate and train all Resort Directors of Finance in the PMWeb / Asgard interface.
  • Train project staff in use of cost management tools as determined by Project Managers.
  • Support Project Managers in creating and maintaining cost management applications and worksheets as needed.

Labor Management System

  • E-file Storage Tool (Microsoft Office SharePoint, PMWeb Document Manager, or other)
  • Assist with SharePoint document uploads (as needed).
  • Assist with and coordinate setup of Vendors in SharePoint.
  • Store and maintain Certificates of Occupancy.
  • Store and maintain all Entitlements & Permits.
  • Create and maintain C.P. / RRS Standard Operating Procedures (SOPs) and Manuals and train
  • Associates in their implementation.
  • Document and analyze existing processes and workflows within MVW C.P.
  • Identify and recommend efficiencies, tools, process and systems to meet industry best practice.
  • Evaluate and recommend for procurement project management and financial control platforms.
  • Upon approval procure, deploy and establish PMWeb tools, systems and procedures.
  • Train and support project delivery teams on PMWeb tools, systems and procedures.
  • Monitor success and adoption of approved PMWeb tools, systems and procedures.

PMSA Candidate Profile

Successful candidates should possess knowledge and experience and demonstrate strong leadership and relationship skills as follows:

Generally, a professional position with specific knowledge in a discipline (e.g., Project Management Software Accounting, Human Resources, Information Resources). College degree and/or relevant experience typically required.

Specific Candidate Profile

  • Bachelor's Degree in a related field such as Information Systems, Computer Science, Construction Management, Engineering, or Architecture.
  • Minimum three years' experience in a responsible capacity in a similar position in the Development or Construction industry.
  • Experienced user and administrator of project management and accounting platforms such as PMWeb, Microsoft Project, Primavera Contract Manager, Primavera P6 Professional Project Management, Primavera Progress Reporter, Primavera Unifier, Microsoft Office SharePoint, Documentum, and PeopleSoft.
  • Ability to learn and develop database and information systems applications as related to job functions.
  • Experience training others.
  • Innovative, solutions-oriented professional with strong problem-solving skills.
  • Knowledge of computer technology and techniques of utilizing financial, accounting, database query, and reporting software.
  • Excellent knowledge of Microsoft Office products required.
