Position Summary 

As a member of the professional staff, contributes specialized knowledge and skill in COA Management to support team and/or department objectives. Generally works under limited supervision or within well-established guidelines as the subject matter expert in Association Management to complete routine tasks and special projects. 

Specific Job Summary 

The Manager of Association Governance is the first line of support for resort management regarding COA matters and is responsible for limiting exposure of the Management Company and associations for failure to comply with state statutes and association documents by ensuring timely and accurate filing of regulatory reports on behalf of the Management Company and associations. Responsible for identifying legal requirements to provide information to Owners, i.e., audited financial statements, maintenance fee budgets, minutes of meetings, notices of meetings. Subject matter expert on association governing document compliance and brand standards. Working knowledge of ownership and maintenance weeks. Reviews and ensures documents for new associations are in compliance with Corporate approved standards. Responsible for timely and complete turnover of control from the Developer to the Association as required. 

Responsible for creating, implementing and facilitating on-going training programs for MVCI Leadership Orientation and Association Management training. Advanced knowledge on parliamentary procedure. Oversee preparation of Board and Annual Meeting Calendar, Board listings, Association mailing timelines, Meeting Minutes, Management Agreement summaries, and other documents as assigned. 

Work with resort management to facilitate Board of Directors elections, including the nomination process, preparing and mailing the Notice of Annual Meeting and Limited Proxy, monitoring quorum and voting tabulations. Partner with the resort staff to proofread and distribute Association newsletters.

Specific Expected Contributions 

  • Strategic consultant to resort management on Association matters including Board and Annual Meeting management, meeting minutes, maintaining official records, and document and statutory requirements
  • Facilitates training for resort management on association processes and Standard Operating Procedures
  • Review and provide input for all new Association documents by partnering with MVCI Legal department
  • Research requirements and prepare summaries of all Association documents and Management Agreements.
  • Maintains official record for all managed master file for all Associations
  • Subject matter expert for all statutory requirements for all managed Associations
  • Working knowledge of regulatory requirements for all managed Associations
  • Understand the requirements and coordinate turnover of Association as required
  • Maintain the improvement and population of the Association Governance timeline
  • Provide specific information to the MVCI Law Department to assist in the development of the master information sheet for each new resort
  • Plan and manage individual resort calendar for statutory requirements, e.g., mailings, meetings, Board information
  • Provide guidance on parliamentary procedures for Association meetings
  • Develop the Limited Proxy based on governing documents and statutory requirements for all managed associations
  • Partner with resort management to continuously evaluate, recommend and implement methods to improve association management processes
  • Special projects as assigned
  • Maintain professional licenses by completing continuing education, as required

Specific Candidate Profile  

  • Licensed Community Association Manager (Hawai'i) required (within 6 months of hire)
  • Notary license required (within 6 months of hire)
  • National Certification for Community Association Managers (NBC-CAM) Certified Manager of Community Associations (CMCA) certification (within 12 months of hire)
  • Applicable association manager's license by state, where required
  • College graduate or equivalent work experience in resort operations, association governance or association management
