Position Summary

File lien and satisfaction documents with regard to accounts. Update account status information in computer systems. Prepare and review documentation provided in accordance with local real estate, title and/or legal regulations and company policies. Review, audit, and reconcile reports/queries for assigned area. Monitor and respond to inbound customer, client, and communications via email, voice mail, etc. in a timely manner. Record and store information using computers with business processing software. Identify issues and escalate to the appropriate person and/or department. Keep team leads/managers/directors abreast of trends and issues or status of work. 

Follow all company safety and security policies and procedures; report accidents, injuries, and unsafe work conditions to manager. Follow all company policies and procedures; maintain confidentiality of proprietary information; protect company assets. Anticipate and address customers’ service needs. Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees. Ensure adherence to quality expectations and standards; identify, recommend, develop, and implement new ways to increase organizational efficiency, productivity, quality, safety, and/or cost-savings. Enter and locate work-related information using computers. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested. 

CRITICAL TASKS 

General Business Services 

ƒ Review, audit, and reconcile reports/queries for assigned area. 

ƒ Respond to inquiries from internal and external customers.  

ƒ Access computerized financial information to answer general questions as well as those related to specific accounts. 

ƒ Authorize and prepare account adjustments and waivers as appropriate. 

ƒ Update systems regarding account status.  

ƒ Organize, secure, and maintain all files and records in accordance with document retention and confidentiality policies and procedures. 

ƒ Record, store, and/or analyze information using software. 

ƒ Maintain accurate electronic spreadsheets for financial and accounting data. 

ƒ Interact with external vendors as needed.  

Legal Document Preparation 

ƒ Prepare, proof, and print liens and related documents and file with appropriate agencies within statutory and company guidelines.  

ƒ Prepare, proof, and print lien and loan satisfactions and related documents and file with appropriate agencies within statutory and company guidelines.  

ƒ Prepare and review accounts to determine further legal action. 

Computers/Software 

ƒ Use computer systems and software packages to input, access, modify, store, or output information  ƒ Enter and retrieve data from computer systems using a keyboard, mouse or trackball.  

ƒ Prepare letters, memos, and other documents using word processing, spreadsheet, database, or presentation software. 

Communication 

ƒ Monitor and respond to inbound customer, client, and communications via email, voice mail, etc. in a timely manner. 

ƒ Speak to customers and co-workers using clear, appropriate and professional language. 

ƒ Prepare and review written documents (e.g., daily logs, business letters, memoranda, reports), including proofreading and editing written information to maintain accuracy and completeness. 

ƒ Talk with and listen to other employees to effectively exchange information.

ƒ Support all co-workers and treat them with dignity and respect. 

ƒ Handle sensitive issues with employees and/or guests with tact, respect, diplomacy, and confidentiality.

ƒ Read and visually verify information in a variety of formats (e.g., small print).

Education:

High school diploma/G.E.D. equivalent

Experience:

1 year related work experience
