Job Summary

Responsibility and accountability of inventory controls for TPI Managed and TPI Exchange resorts with the purpose of maximizing occupancy, inventory usage, and customer service.  Responsible for initiating frequent communications with the various call center departments, Resorts, and external Client and Vendor relations to work interactively on inventory issues. Forecast and track inventory allocations for trends, availability excess and shortfalls, and usage.  Measure and monitor inventory for maximum utilization.

Essential Functions

Perform Inventory Control processes within multiple systems

  • Deposit verifications, membership verification, Bulk Bank processing, and inbound arrivals
  • Manage inventory balances within TimeShareWare and Condo Exchange in order to best utilize the inventory create booking opportunities.  (Sweeping)
  • Control II, TPI and RCI Exchange bulk bank allocations for each TPI Managed Resort. Consistently evaluate bulk bank inventory in order to ensure best utilization
  • Consistently monitor inventory in these systems, resolve overbooking or inventory challenges as needed

2. Update TimeShareWare backend Front Desk Functions for TPI Managed resorts that are not Live or using TSW completely.

  • Perform Reservation Status Changes
  • Update Room Moves as needed
  • Actual Use process for Club Cascadas

3. Maintain Inventory and Reservation information for miscellaneous external exchange clients and vendors that we source inventory to, or that supply TPI inventory to utilize via special contracts or agreements.

  • Maintain Inventory Allocations, balance and dispersed inventory
  • Release inventory for selected contracts as required
  • Update allocations with inbounds as they are sent by the miscellaneous external exchange clients
  • Prepare and Send Verifications lists to miscellaneous external exchange clients and vendors
  • Communicate with these clients as needed regarding inventory and reservation matters
  • Assist with resolving any inventory overbooking challenges as needed

4. Act as liaison between TPI call centers and RCI and II Exchange

  • Provide knowledgeable assistance with the membership details, verification, Bulk Banking, Inbound arrivals, and Owner Deposit processes.
  • Act as contact person for any related issues

5. Assist Call Centers and Front Desk Representatives with Inventory issues/awareness.

6. Timely run and process Scheduled Inventory Reports within the multiple Inventory Management Systems, Condo Exchange, TimeShareWare, ResortLink 2000, and i-Servies.

7. Routinely Perform Audits of the inventory within the various Inventory managements Systems to ensure accuracy and integrity.

Knowledge, Skill and Experience

High School plus minimum 2 years’ experience in the industry or similar practice. Inventory experience in timeshare, hotel, cruise line or travel industry preferred.
