Position Summary
As a member of the professional staff, contributes general knowledge and skill in a discipline area (e.g. Accounting, Finance, Human Resources, Information Resources, Operations Planning & Support, Sales & Marketing) to support team and/or department objectives. Generally, works under limited supervision and within well-established guidelines, producing and analyzing more complex business information to assist in the decision-making process. Responsible for selection, supervision and development of staff in accordance with company policies and procedures.
Specific Job Summary (describe the nature and purpose of the position)
Accountable for the effective management of contract administration activities leading to the timely and accurate execution of contractual agreements. Position requires the regular exercise of discretion and judgement. Specific duties include determination of contract template and signature approvals based on established criteria, contract authoring utilizing established systems and procedures, quality control of contracts produced by others, and ensuring clarity and completeness of scope contained in contract documents. Other duties may include special projects and ad hoc reporting as needed. This role will work closely with the Director of Contracting in the execution of contract functions, ensuring adherence with company policy and established SOPs. This role will also interface with Project Directors and AVP’s to clarify contract documentation, Accounting associates to facilitate contract reviews, Law Department to facilitate review of contract clauses, as well as contractors and vendors.

Specific Expected Contributions (including duties and responsibilities)
- Craft, evaluate, and execute a variety of different contracts in support of real estate development and construction activity
- Consult with the Director of Contracting to clarify contract requirements
- Interact with Project Directors, AVP’s and others to clarify scope and ensure the accuracy and completeness of contract exhibits
- Proactively communicate and present contract-related information to various business partners
- Actively coordinate with Development Accounting to obtain financial review of contract documents
- Responsible for maintaining contract templates and coordinating revisions with the Law Department
- Responsible for ensuring that contracts are issued in the name of the correct legal entity
- Ensures contracts are reviewed in accordance with the Development Accounting Approval Matrix
- Establish and maintain contractor relationships
- Direct the activities of coordinators engaged in contract administration functions
- Provides quality control and ensures contracts are prepared in accordance with established standards prior to issuance
- Ensure change orders are timely and in accordance with applicable policies/procedures.
- Implement procedures to obtain contract signatures and track insurance certificates to ensure compliance and minimize risk
- Partner with Development Accounting, Project Directors, and 3rd Parties to resolve issues
- Serve as the subject matter expert in the PMWeb Contract module, as well as various other applications
- Create and update SOPs utilized in the execution of business processes
- Provide Contract support-related functions as needed

Education:
- College degree or equivalent experience
- Paralegal training preferred
Experience
- A minimum of 6 years of work experience
- Previous experience administering contracts
- Previous experience working on a team and interacting with external customers
- Experience resolving issues and prioritizing competing requests for support
Skills/Attributes
- Highly skilled in the use of Microsoft business applications (Word, Excel, Outlook, etc), and possess the ability to learn other applications as needed.
- Strong collaborative skills and proven ability to act with a professional demeanor with all levels of management, both internally and externally.
- Strong time-management and prioritization skills
- Possess excellent verbal and written communication skills.
