Job Summary

The Sales & Marketing Coordinator, Hong Kong role coordinates various MVC M&S Business Administration activities, by liaising with Hong Kong Broker (IC). The role is responsible for daily, weekly and monthly reporting (e.g. weekly monitor and sales reports) to support the Regional Director of Sales with monitoring the IC' s performance. Use sales techniques that maximize revenue while maintaining existing guest loyalty to Marriott Vacations Worldwide (MVW) and Marriott Vacation Club (MVC). Recognize opportunities to up-sell the customer and sell enhancements to create a better MVC experience or event. Explain details and requirements related to attending a sales presentation to potential owners. Verify that individuals meet eligibility requirements for preview package sales/tours prior to scheduling a tour for a Marriott Vacation Club property. Provide support during the start-up of operations in China; assist with coordinating between the Independent Contractor and various MVCI departments (e.g. Sales & Marketing and NOA) as required.

Encourage guests / callers to purchase or schedule preview package sales/tours. Confirm presentation/tour appointments for Members and guests. Greet same at hotel reception/lobby and/or at meeting venue. Determine and give complimentaries to guests as gifts for their patronage (e.g., rewards points, show tickets).

Liaise with the regional New Owner Administration (NOA) team and the Singapore Call Centre (SCC) team, to follow up on contract processing, updates required to contracts and follow contracts through to closure. Perform general office duties to support Sales & Marketing operations onsite (e.g., filing, sending emails, typing, faxing, copying). Prepare sales-related documents throughout the sales process (e.g., proposals, contracts etc). Promote awareness of brand image internally and externally. Gather materials and assemble information packages (e.g., brochures, promotional materials).

Enter, retrieve, reconcile, and verify information (e.g., commissions, leads, third parties) in software involved in the sales process. Answer guest questions about property facilities/services (e.g., hours of operation, rates and room types, packages, promotions, entertainment, restaurants, special events). Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests. Receive, record, and relay messages accurately, completely, and legibly.

Follow all company policies and procedures; ensure uniform and personal appearance are clean and professional; maintain confidentiality of proprietary information; protect company assets. Welcome and acknowledge all guests according to company standards; anticipate and address guests' service needs; thank guests with genuine appreciation. Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees. Comply with quality assurance expectations and standards. Move, lift, carry, push, pull, and place objects weighing less than or equal to 10 pounds without assistance. Perform other reasonable job duties as requested by Supervisors.

Sales & Marketing

  • Coordinate with the Marketing team at the Singapore Regional Office and Singapore Call Centre for arrival reports, tour reports, channel booking reports etc.
  • Confirm presentation appointments for Members and guests and arrange to greet them at the agreed location (hotel reception / lobby or at the meeting venue).
  • Greet Members and guests at the venue reception desk.
  • Promote awareness of brand image internally and externally.
  • Use sales techniques that maximize revenue while maintaining existing guest loyalty to MVW and MVCI
  • Perform general office duties to support Sales & Marketing (e.g., filing, sending emails, typing, sending outgoing faxes, delivering incoming faxes, copying, opening or distributing mail).
  • Support the start-up of China operations such as coordinating between the Independent Contractor and various MVCI departments (e.g. Sales & Marketing and NOA) may be required.

Quality Assurance/Quality Improvement

  • Comply with quality assurance expectations and standards.
  • Liaise with the NOA team, to assist with the proper flow of documents from the Independent Contractor to NOA team, and follow up on contract processing, any updates required to contracts and following contracts through to closure.

Guest Relations

  • Liaise with the relevant Member Services team (Singapore or Thailand) to assist with any Member needs.
  • Greet Members and guests at the agreed location (hotel reception / lobby or at the meeting venue) upon their arrival.
  • Welcome and acknowledge each and every member/guest with a smile, eye contact, and a friendly verbal greeting, using the member's/guest's name when possible.
  • Address member/guests' service needs in a professional, positive, and timely manner.
  • Anticipate members/guests' service needs, including asking questions of members/guests to better understand their needs and watching/listening to guest preferences and acting on them whenever possible.
  • Actively listen and respond positively to guest questions, concerns, and requests using brand or property specific process (e.g., LEARN, PLEASED etc) to resolve issues, delight, and build trust.
  • Thank guests with genuine appreciation and provide a fond farewell.
  • Engage guests in conversation regarding their stay, property services, and area attractions/offerings.
Job Requirements
 
  • Proficiency in the use of computer word processing skills with specific knowledge of Microsoft Excel and Word.
  • Excellent organizational and attention to detail skills.
  • Must be able to handle a flexible work schedule which will include weekends and evenings.
  • Experience in high volume, fast-paced, results oriented business environments.
  • Ability to work under pressure, manage multiple priorities, and be a self-starter.
  • Proven verbal and written communication skills.
  • Proven ability to work in a team environment and interact with all levels of the organization.
