Position Summary
Assist the GM in owner operations. Act as a liaison between Aston and owners/renters, focus on organic growth of rental program. Oversee Housekeeping and Facilities Manager - operations.
Position Requirements
- Bachelor’s degree/diploma in Business preferred but not required.
- 3 or more years of combined experience in owner relations, operations, management. 3 years of experience in hospitality.
Position Responsibilities
- Efficient and professional operation of the property in coordination with the GM and department heads, specifically Housekeeping and Interior Maintenance.
- Owner Services first contact. Responds to meet owner needs. Grow MKV rental program unit counts through organic and targeted solicitation efforts. Improve owner satisfaction.
- Act as a liaison between the owners/renters and the management company and between the owners/renters and the AOAO. Supervise the overall rental program with particular attention to owner needs and unit improvement. Oversee the Housekeeping and Interior Maintenance departments functionality.
- Provide guidance and direction in the administration of the rental program, Housekeeping, and Interior Maintenance responsibilities. Ensure that owner records are maintained in accordance with policies and directives. Maintain accurate and up to date owner contact information. Provide updates to OR and Opera systems as needed to ensure accurate owner record keeping and unit accuracy. May publish periodic newsletters.
- Acquire and maintain rental management contracts for all participating rental units. Give detailed presentations to new clients joining the rental program. Ensure new units are correctly billed for any start-up costs. Assist owners in upgrading and maintaining their rental units, providing information and comparable as necessary.
- Act as liaison between unit owners and vendors for repair/upgrading of units. Review work orders as prepared by Facilities Manager for maintenance repair before submission to accounting for accuracy after work is completed.
- Participate in forecasting efforts to ensure maximum occupancy and average rates and drive operational efficiencies to ensure profitability. Monitor the overall impact of Individual Unit distribution (MCH) direct connect and other avenues of potential revenue and unit growth for the rental program.
- Assist GM with actual expenditures and financial data when applicable for monthly financial statements. Perform other accounting functions including, but not limited to, entering invoices in Peoplesoft and processing owner vendor invoice for payment

- Responsible for the accuracy of employee personnel and payroll records for the Housekeeping and Maintenance departments in concert with Executive Housekeeper and Facilities Manager. Monitor safety practices in each department as well as number and type of accidents occurring on the property.
- Spot check rental units to ensure units are being maintained as per standards. Conduct annual inspections and grading of all rental units and prepare individual written reports as requested to owners based upon the results of this inspection.
- Communicate with unit owners regarding their questions, concerns, comments, and suggestions. Maintain complete and accurate correspondence files, including telephone contact reports.
- Assist the GM in communication and negotiations with the Rental Advisory Committee. Coordinate accurate minutes for the Rental Advisory Committee meetings, assist with RAC mail outs including but not limited to RAC Elections, RAC Meeting Minutes and any other communication necessary between the RAC, Rental Program, and Rental Program ownership.
