POSITION: Human Resources Assistant Administrator

DEPARTMENT: Human Resources

OVERALL RESPONSIBILITIES:

To provide administrative support to the Human Resources Department in order to achieve maximum efficiency

WORKING RELATIONSHIPS:



Reports to: Director of Human Resources

JOB QUALIFICATIONS:

ESSENTIAL JOB FUNCTIONS:

  1. Compose letters and correspondence to speculative applications and other such mail received. Respond to all recruitment / employment related inquiries giving information, reviewing CV's and redirecting applications as appropriate.
  2. Secure verbal and written references on new starters, if necessary.
  3. Assist in coordinating, producing and distributing weekly vacancy list, and liaise with Management to gather information relating to recruitment needs for the posting of these.
  4. Reporting of statistics, such as Labor --Turnover, 90days Tracking Reports, Day-One, Associate Updates etc.
  5. Track Associate birthdays, organize monthly birthday celebration, ensure cards are distributed on time for signatures and gifts are prepared.
  6. Assist in organizing and conducting HR processes for new hires, such as Day-One and Orientation Day.
  7. Tracks, organizes and follows up on all documentation such as IPAs, Business Ethics forms and associate handbooks, etc.
  8. Maintain and update filing systems on a regular basis and ensure all documentation is kept confidential as required.

General activities

  1. Responsible for incoming and outgoing correspondence; construct and type letters ensuring their quality is of a high standard and applications responded to promptly.
  2. Ensure that on a regular daily basis the incoming mail is collected, and dealt with as appropriate. Items of urgency should be brought to the attention of the appropriate person.
  3. Ensure that all telephone inquiries are answered promptly and in a professional and accurate manner.
  4. Update as required company organization charts, Associate Handbook, forms and other such documents.
  5. Operate trace systems ensuring items are brought forward for action on the correct dates.
  6. Develop administrative system and procedures to continually improve the effectiveness of the department.
  7. Collaborates in the organization of associates parties and events.
  8. Helps administrating of incoming bills and purchase orders.
  9. Assists preparing information on starters, leavers and personnel changes

Projects

  1. Co-ordinate/research ad hoc projects as directed by the Director of Human Resources.

Meetings

  1. Attends Department meetings when required.

Communications/Advisory role

  1. Liaise with external and internal customers as required, including advertising and recruitment agencies, internal & external departments, applicants and ad-hoc requests etc.

  1. Provide advice and assistance as required on company procedures and systems, and HR related issues.

  1. Communicate and update all Associates both written, verbally and via noticeboards of relevant company information.
