Essential Duties and Responsibilities (other duties may be assigned):

Resort Wide:

  • Consistently follow the Welk i-Service standards at all times.
  • Follow all company and department policies and procedures.
  • Attend safety meetings, keep the workplace in safe condition, and work in a safe manner.
  • Adhere to attendance policy and report to workstation at scheduled start time.
  • Propose ideas or find ways to improve services, systems, and/or procedures.

Department:

  • Manage inbound inquiries, assist in contracts, and catering negotiations and create BEOs.
  • Post and communicate BEOs, set calendar reminders for events, ensure payments are received.
  • Accounting, invoicing and administrative duties as assigned.
  • Establish and maintain relationships with vendors and venues.
  • Manage events and address potential challenges that may arise.
  • Set up and coordinate details of events; maintain prompt service with staff.
  • Oversee each phase of the event to ensure it runs smoothly
  • Calculate budgets and ensure they are adhered to
  • Coordinate event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations
  • Assist with interviewing, hiring, onboarding, scheduling, and timekeeping of events team.
  • Perform All other duties as assigned.

Education and/or Experience:

High school diploma or equivalent required.  Degree in hospitality preferred.  At least 3 years’ experience as an events coordinator.  Must be well-organized with excellent multi-tasking abilities.  Strong communication and interpersonal skills.  Must be computer literate and proficient in Microsoft Office applications.  Must be able to work a flexible schedule and have excellent customer service skills.  Must have a valid California driver’s license and able to operate a motor vehicle safely. 

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.
