Job Summary

Event Coordinator position is responsible for maintaining a strong relationship and constant communications with existing and new partners and maintaining a regular box program with vendors to get leads locally.

Key Performance indicators

  • Event locations have to be planned and secured 3 months in advance.
  • Associate have to organize minimum of Two major lucky draw in Singapore in a fiscal year.
  • Associate will manage fulfillment of lead collection, lead sorting and lead entry into OTM.
  • Associate will be monitored once a period and must achieve 95% proficiency.
  • Associate's productivity should not fall below other standards as defined by management.
  • Promotions have to be on going and each promotion done has to last at least 2 months long.

Job Specific Tasks

Lead Generation Program

  • Plan lead generation program twice a year for major campaigns and once a quarter for minor campaigns local or overseas.
  • Send in proposal and marketing brief for approval.
  • Communicate with vendor/s to participate.
  • Create artwork with in-house graphic designer or vendor may propose their own design for promo.
  • Get approval for artwork from management.
  • Get the necessary licenses and legal approval.

Gallery Duties (Ad-Hoc)

  • Support the management team during member's events (eg. Lucky draws, Members night, etc.)
  • To assist with any marketing issue for tours at the gallery.
  • Guests' Feedbacks on their experience at the gallery.
  • To handle guests with care and professionalism.

Corporate Relations

  • Meet person-in-charge of the different organizations.
  • Promote our preview packages through marketing collaborations.
  • Engage new brokers to generate more qualified tours


  • Source and develop online marketing (website, EDM, etc.)
  • Conceptualize and coordinate with vendors
  • Support email responds and in-bound calls

Specific Expected Contributions

  • Promoting and marketing the business; sometimes to new or niche international markets
  • Responsible for Inbound Tourists in Singapore
  • Spokesperson representing Marketing department to promote MVCI AP timeshare membership
  • Liaising with partners & brokers to ensure a consistent approach & healthy business relationship
  • Taking part in familiarization visits to new tourist attractions in order to gain information on issues and amenities of interest to consumers
  • Dealing with customer enquiries and aiming to meet their expectations & company expectations
  • Overseeing the smooth, efficient running of the business, especially the local marketing team
  • Meeting regularly with partners & brokers to give them updates on their overall performance
  • Keep current on best practices in timeshare industry and MVCI.

Candidate Profile

  • Minimum of one (1) year of experience in a similar position.
  • Proficiency in English (additional language required for certain positions)
  • Proven verbal and written communication skills.
  • Proficiency in the use of computer word processing skills with specific knowledge of Microsoft Excel and Word
  • Ability to work under pressure, manage multiple priorities, and be a self-starter.
  • Proven ability to work in a team environment and interact with all levels of the organization.
  • Excellent organizational and attention to detail skills
  • Experience in high volume, fast-paced, results oriented business environments,
  • Extensive experience working with travel agents, brokers and partners
  • Experience managing large numbers of tourist
  • Excellent customer service skills
  • Basic report writing skills
  • Supports teamwork and works well in a team environment
  • Ability to priorities and control workload of different travel partners
